Results Customization Provides Unimaginable Benefits to Church

THE BACKGROUND: Pentecostal Church of God

The Pentecostal Church of God (PCG) is a large organization with over 620,000 world-wide members, 37 district offices, 2,300 clergy in 1,200 churches in the US. The organization previously ran on a database that siloed information across the organization, creating a huge dependency on paper.

BUSINESS CHALLENGES & VISION

David Walker joined the organization in 2011 and was charged with migrating to a new software platform with the ability to manage day-to-day routines. His initial vision was very broad; he needed the information to flow within the large organization with multiple functions, locations, and roles.

David started the hunt for a system that would allow PCG to combine the previously siloed financial data and people data so they could ultimately run reports on both sets of data and work from a centralized database. His ultimate goal was to develop a “one organization system” that would provide role-based authority to edit records within a system that would house accounting data from the national and district and “people data” from all locations and support the needed workflow .

FIRST IMPRESSIONS

PCG has customized Results in so many different ways that they now consider the product “100% PCG”. In order to help them obtain the specialized functionality, the Results Team studied, internalized and disassembled each field, each row, and each piece of information in the old database down to a point where they knew where everything was and how it functioned.

The Results team used a phased approach to deliver each customization. David explains, “There were no surprises within the development process. Results understood our needs and worked within our budget. I know we would not have received that level of support elsewhere.”

FIRST IMPRESSIONS

David started his search by evaluating 5 CRM companies and accounting packages that offered integration. He quickly found that most sales people that he talked to during his research were not accommodating and had the “big-company mentality”; they were not willing to bend or customize their product.

However, after the first few calls with Results Software, David knew he was not dealing with an ordinary software and CRM vendor. David was immediately drawn to the fact that Results Software answered the phone in-person and was impressed that the Results team listened, understood and cared about his role in the organization and the challenges he faced. Furthermore, the team showed specific interest in PCG’s challenges by researching the organization, their history and organizational structure so
they could properly provide the needs analysis and consultation needed.

BUSINESS CHALLENGES

Automatic Donation Allocation Saves Thousands of Data Entries.

Results Software added a custom module to split donation money among multiple accounts based on percentages. PCG previously had to manually split incoming payments among various categories. A single entry into Results automatically makes multiple entries into QuickBooks. This module alone allows the organization to automate thousands of data entries per day!

Automated Event Registration.

Originally created to support the bi-annual national conference, this module supports online event registration. Visitors can also order event items like t-shirts and books through this portal. The order information is instantly reflected in the PCG Results database and automatically reflected in QuickBooks, eliminating duplicate data entry.

Ease of Day-to-Day Operation.

The Results interface is easy enough for a regular user but powerful enough to provide a technical person exactly what they need. Results streamlined everyone’s jobs and became a “must” in the PCG environment. It is simple and easy for users to compare specific information on multiple accounts on the fly.

Role-Based Access to Documents.

The Results team created a custom portal to disseminate documents and forms to Board Members, District offices and Ministers with varied security rights and access levels. From standard forms to financial reports, these documents are made available to Board Members, District offices and ministers through a web-based portal with a simple and easy to use interface.

Powerful Reporting Capabilities.

Results has developed numerous custom reports for PCG. Although some of these reports may only be used during specific events, such as district elections or district board meetings, PCG depends on these reports for accurate information and decision making.

Tight QuickBooks Integration Provides Phenomenal Reporting Capability.

PCG had Results customize the existing Results QuickBooks Integration engine to support how they do business. The customized integration allows Results and QuickBooks data to be married in ways that have never been possible for the organization.

Centralized Forms Decrease Paper Dependency.

Before implementing Results, PCG had 37 districts with 37 different versions of paper forms. The quality and format of the information gathered on each form would vary from district to district. After leveraging Results, information is represented in a uniform way. By centralizing information, when PCG has fully implemented Results, they will have eliminated 90% of their paper dependency.

Payment Management Web Portal.

Results created a custom payments portal that allows District offices and Ministers to login, review their invoices and choose what they would like to pay and apply the payment to the correct invoice(s). The payment information is instantly reflected in the PCG Results database and automatically reflected in QuickBooks, eliminating manual processes that delay receipt of payments and eliminating duplicate data entry.

Find-a-Church Web Portal.

The Results team created a custom portal to allow any user to find a PCG church based on their location with visual map representation of the various locations. The portal ties directly to the PCG Results database, so that changes to the address and contact information are instantly reflected via the portal.
With unified and centralized information, PCG is now positioned for growth. Our team can now execute on our original goal: To grow the ministry and serve people with information that was not previously centralized and immediately available. The Results Team makes the product shine and we look forward to expanding our grow.

WHAT'S IN THE STORE FOR THE FUTURE?

With the Results system in place, local, district and regional offices are now positioned for growth. Now that PCG has unified and centralized information, they can expand on their original goal: To grow the ministry and serve people with information that was not previously centralized or available digitally.

PCG will turn their focus on using Results to build better relationships and connect with their members. Results will be the tool used to follow up with people after functions; PCG will be able to capture information about which ministries, classes, trainings or small groups each individual is interested in and then follow up with the respective individual. By providing information to their members based on their specified interests, PCG expects members to feel a closer bond to the organization and know that they are a key part of the organization, that they are needed and that they are supported. Using Results information to understand how to serve their people will ultimately
result in organizational growth. PCG is also exploring how to leverage the mobile capability of Results for immediate access to information from anywhere and at anytime.
